Functional Overview

One-Time Transmission is the optional function that can safety transmit multiple files to guests who are not registered as members of InternetDisk ASP only by specifying their email addresses.

Features

  • To use optional One-Time Transmission, an application must be submitted and usage settings must be done by the Member Administrator.
  • When the members who are permitted to use One Time Transmission logs in to the Web view, Guest Disk appears on the disk list.
  • Using this Guest Disk, you can transmit up to 10 files with a total capacity of 100MB.
  • The same content can be broadcasted to multiple guests by a single transmission. None of the guests who will receive files can know the existence of other guests who will also receive the same file(s). Also, passwords are managed individually.
  • Specify the number of guests to whom files can be broadcasted one time (the number of email addresses) within the range set by the Member Administrator as “the upper bound allocations for broadcasting to guests.”
  • Once a guest downloads a file, the “Download Notification” email is automatically sent to the member, so that the member can know that the guest(s) has/have downloaded the file(s).
  • The file expiration for guests to download files is 72 hours after file transmission.
  • Because up to 10 transmission folders can be created, a maximum of 10 one-time transmissions can be performed at the same time.

Safety

  • Because files transmitted are protected by passwords, they can be transferred extremely safely.
    (Each guest must set up a password required to receive files before performing download. No advance preparation, such as a member who is sending files issues an account, is required.)
  • When the member uploads files he/she is transmitting, or when files transmitted are downloaded by guests, the files are protected by SSL encryption for secure communication.
  • Virus check is automatically activated when a file is uploaded or downloaded in order to prevent virus affection while transferring files.
  • Once files are transmitted, they are automatically deleted after 72 hours. The number of file downloads is limited to three times per file. With these measures, troubles that may occur when important data remains forever after the completion of download can be prevented.

Procedure
1. The member specifies the email address of the receiver.
2. The member uploads the file(s) he/she wants to upload.
“Notification of file keeping” email is sent to the guest.
Guest The guest sets up a password.

3.When the guest downloads the file(s), notification email is sent to the member.
1. Specifying the Receiver

After logging in to the Web View, select Guest Disk, and then click [One-Time Transmission]. When the One-Time Transmission screen appears, specify the email address of the receiver.

* The number of guests to whom files can be broadcasted are preset by the Member Administrator. Check the count on the screen.

You can insert the subject and body of the notification email of file keeping that will automatically be sent to the guest.
2. Uploading Files

After clicking [Next] on the screen in 1 above, the One-Time Transmission 1/2 screen appears. Specify the file(s) you want to upload. When you click [Transmit] on the lower part of the screen, file upload starts. As soon as the file upload finishes, notification of file keeping email will automatically be sent to the guest.

Up to 10 files with a total capacity of 100MB can be specified.
The transmission folder name is used to distinguish the folder in the guest disk list after file transmission operation. Change the folder name as necessary.
The file expiration is 72 hours after selecting [Transmit] here. Once the file expiration is reaches, the transmission folder will automatically be deleted.
2. Checking Download and Managing the Transmission Folder

When file upload is finished, the Guest Disk List screen appears.
After transmission operation, you can check the dates and times of transmissions and the file expirations on this list. Also, by selecting the applicable transmission folder, you can check the download status of each file. File download is also notified by email to the member who sent the file(s).

While 10 transmission folders are being displayed on this Guest Disk List screen, another one-time transmission cannot be performed. To perform a new one-time transmission while 10 transmission folders are being displayed, wait until one of the folders expires or manually delete an unnecessary folder so that the total number of transmission folders on this Guest Disk List screen will be less than 10.

Q&A
[Q.] Please tell me the file capacity that can be sent by One-Time Transmission one time and the number of guests allowed.
  A total of 10 files with a maximum capacity of 100MB can be transmitted one time. Also, the maximum number of guests to whom broadcasting can be performed is [the upper bound allocations for broadcasting to guests] (1 to 10 guests) set up by the Member Administrator.
[Q.] Can files be transmitted many times?
  There is no limit for the total number of one-time transmissions; however, because only up to 10 transmission folders can be created, no more than 10 files can be transmitted at the same time. Transmission folders are automatically deleted once 72-hour file expiration is reached, and then a new one-time transmission can be performed.

* If you manually delete the transmission folders with which transmissions have been finished, you can perform another one-time transmission without waiting for 72 hours.

[Q.] If I made a mistake in specifying the email address of a guest, what should I do?
  Even if you specified a wrong receiver’s email address, you can’t cancel the email requesting to set up a password. If you specified a wrong receiver’s email address, delete the applicable transmission folder.
Cautions
When you delete a transmission folder, other guests to whom you have sent the same file will not be able to download it.
Before you delete the applicable transmission folder, your guests may download the file you already transmitted. When you notice that you have specified a wrong receiver’s email address, be sure to take a corrective action immediately.

  For security purpose, no password can be reissued. If your guest forgot the password you set up and thus could not sign in, perform the one-time transmission of the same file again.
[Q.] Please tell me how to create a guest disk?
  A guest disk automatically appears on the member’s disk list screen when the Member Administrator allocates 1 or more in [the upper bound allocations for broadcasting to guests].
[Q.] What should I do when the download expiration time (file expiration) has passed?
  Because expired transmission folders are automatically deleted (when 72 hours has elapsed), they can no longer be downloaded. Also, the passwords set by the guests will become invalid. If your guests cannot download the files before file expiration (72 hours), perform the one-time transmission of the same file again as necessary.
[Q.] If the download count exceeds the upper limit of 3 times, will the guest folders automatically be deleted?
  Because the download count is managed for each guest, the transmission folder will not automatically be deleted until file expiration (72 hours) passes, even if the upper limit of 3 transmissions has been exceeded.

  You can check the remaining download count ([Remaining Download Number]) of your guests by clicking [Properties] at the right of the name of the file you transmitted, and by selecting [Download Information] on the File Properties screen.
